Behind the Scenes: What Our Wedding Client Gift Fulfillment Process Actually Looks Like

Planner Support & BTS | Wedding Planners

When Planners Call, It's Usually This Time of Year

There's a particular kind of energy towards the mid to later part of Q1. Planners are working through designs for this years weddings, onboarding new couples fresh off of engagement season for next year, and somewhere between they're also doing all of the back end admin that needs to get done, including sending out their client gifts.

We hear from more wedding planners in January through March for their client gifts more than at any other time of year. And it makes sense. The couples are signed which means their client experience is just starting to take shape. And a thoughtful gift is one of the first real touchpoints a planner has with a new client - before the design & detail convos, before choosing the vendor team, before any of the (many) decisions that inevitably come with planning a wedding.

Why the New Year Triggers a Wave of Client Gifting

Most wedding planners get booked 12-18 months in advance although recently we've seen an uptick in shorter timeframes. When January arrives, the client experience kicks off and suddenly there are five, ten, fifteen new clients who need a welcome gift that says: you're in good hands this year.

That gift isn't just a nice gesture. It sets the tone for the entire client relationship. It communicates your taste, your attention to detail, and your investment in the experience you're promising to deliver.

What Onboarding Gifts for Every Couple Actually Looks Like in Practice

For planners with a full season ahead, this sometimes means one coordinated bulk order aka the same gift going to every couple they've signed, all at once. For example, we'll send all of their clients a gift in January "kicking off your wedding year" or around the holidays celebrating their first married Christmas.

But just as often, Planners like a more "on demand" program. This looks like an ongoing arrangement where gifts are going out one by one as new couples book throughout the year.

Both approaches work. The choice usually comes down to the planners workflow and their preference and if they're not sure, we can always advise on what may work best for them! What stays consistent either way is the sourcing, assembly, packaging, and shipping all being handled on our end, without anything falling through the cracks.

Two Ways to Work With Us: Custom and Semi-Custom

Before we get into the process, it helps to understand that we offer two distinct services depending on what a planner needs. They're designed for different situations, and the right choice usually becomes clear pretty quickly in a first conversation.

Custom Client Gifts| A Collaborative Process With a $4,000 Minimum

Custom gifting is for planners who want a gift that is truly theirs - built around their brand, their clients, and the specific moment the gift is marking. There's a minimum investment of $4,000 for custom orders, which reflects the time, sourcing, and hands-on work that goes into building something from scratch.

This path works well for planners who have a very specific vision, who want the gift to feel like a natural extension of their brand and who want their gifts to be just as unique as their business. And it's worth clarifying, custom doesn't have to mean you need to buy in large quantities. Some planners use custom for very high-touch gifts and others use it for a full season's worth of onboarding orders. The $4,000 minimum is about the investment in the build itself - not a volume requirement. You can send custom gifts in bulk upfront, or on demand as couples sign, whichever fits how you work.

Custom Gifting Service

Semi-Custom | Flexibility for Planners Who Want Something Intentional Without the Full Commitment

Semi-custom is our more flexible offering. There's no gift order minimum, and allows you to add your branding in the form of gift tags, notecards and branded packing tape to our beautiful collection of curated gifts found online. Like custom, it can be ordered in bulk or sent on demand as couples book.

The real difference between the two paths isn't volume - it's the level of investment and involvement. Semi-custom lets you skip the discovery call, the $4,000 minimum, and any storage considerations. It's a strong option for planners who want something thoughtful and well-executed without the full custom build behind it or need for specificity.

What the Custom Process Actually Looks Like

The custom process is more collaborative than most planners expect - and in a good way. You're not handing us a brief and waiting. You're part of the conversation.

The Discovery Call - Talking Through the Goal, Your Clients, and Your Brand Aesthetic

Every custom order starts with a call. We use that time to understand what the gift needs to do and how it makes your client feel - not just what it should look like. Are you welcoming a couple who just signed their contract? Celebrating a milestone? Thanking a client at the end of a long season?

We also talk about your brand. Your color palette, the overall feeling of your work, whether you lean toward clean and modern or warm and layered. The gift is going out under your name, and it should feel that way.

From there, we take what we've heard and come back with a concept. We then work with the planners honest feedback to make any necessary adjustments from there.

Curation and Sourcing - How We Build Around a Theme, Not Just a Product List

We don't start with a product catalog and work backward. We start with the intention - what this gift is meant to communicate and build toward it. That typically means sourcing something we don't already carry. It might mean combining several smaller elements to create a specific feeling. The product is in service of the story.

This is the part that takes the most time and expertise, and it's also the part that makes the difference between a gift that feels assembled and one that feels like it was curated with intention.

What's Been Trending This Season - A Note on Date Night Gifts

One theme that's been coming up again and again this year: date night. Planners are gravitating toward gifts that remind their couples to slow down and actually enjoy the engagement - dinner at home, a night in, an excuse to put the planning aside for one evening. Guest experience is trending in the wedding design world and in our world that means Client Experience.

It's a genuinely thoughtful message to send at the start of a relationship that's about to get very logistically intense. And it gives the gift a narrative, which is what separates something memorable from something that ends up in a closet.

Assembly Week - What's Happening in the Studio

Once the proposal is approved and products are sourced, the real hands-on work begins. This is the part that happens behind the scenes - the part that makes the difference between a gift that arrives right and one that doesn't.

How We Sequence and Batch a Bulk Order

A bulk order isn't just one gift made many times. It's a production run with real logistics behind it. We sequence the work intentionally - pulling and inspecting inventory, staging components, and assembling in batches so that every gift in the order is consistent, regardless of whether it's the first one packed or the last.

For planners sending onboarding gifts to a full season's worth of couples, this consistency matters. We ensure that every client gets the same exact experience.

Quality Checks Before Anything Is Packed

Before anything is boxed, we inspect every piece that's included in the gift send and  remove anything that doesn't meet our standards. If products are damaged, close to expiration or arrive in a way we didn't expect, we communicate those issues directly with the vendor for a refund or a make good.

Packaging, Presentation, and Why It Matters to Your Clients

The gift doesn't end with the product. The unboxing moment is a BIG part of it - maybe a significant part, depending on who's receiving it and what they're likely to do when it arrives. It's the first impression!

How We Think About Presentation as Part of the Gift, Not an Afterthought

Packaging is the first thing the recipient experiences, before they've seen a single product inside. We think about it as part of the overall impression the gift makes - how it feels to lift the lid, what the interior looks like, whether the presentation holds up after a day or two in transit.

For planner gifts specifically, the couple is forming an impression of the planner with every touchpoint, and the gift is one of the early ones.

What Your Couples Experience When the Box Arrives

When a gift arrives that's been packaged well, clients immediately feel like they've received something special. That's the goal. The presentation should support the gift, not distract from it and it should arrive looking exactly the way it looked when it left the studio.

Shipping, Timing, and What We Need From You

We Ship Nationally - Here's How That Works for Bulk Orders

For bulk orders, we coordinate all shipments from our studio. Gifts can go to a single address - a planner's office, for example, if they want to hand-deliver or to individual recipient addresses. We work with planners to confirm shipping details before anything goes out, so nothing ends up at the wrong door.

Our Lead Time Is 4-6+ Weeks

For custom bulk orders, we ask for 4-6+ weeks from concept approval to ship. That window accounts for sourcing, production, quality review, and packaging - it's what the process actually takes when done properly.

If you're looking at a specific date you need gifts to arrive by, work backward from there and build in a little room. Reaching out early is always the right move!

What to Have Ready Before You Reach Out

You don't need to have everything figured out before you contact us. But it helps to have a rough sense of how many gifts you need, when you need them to ship, a general idea of budget, and any strong aesthetic preferences or brand direction you want us to work within.

Bulk Orders and On-Demand Shipping - We Handle Both

Planners come to us in two different modes, and both are completely workable.

Sending the Same Gift to Every Couple? We've Got It.

If you've just wrapped up booking season and you want to send a coordinated onboarding gift to every couple you've signed, we can build and fulfill that as one run. One concept, one production window, one ship date or staggered shipping if that works better for your timeline.

This is the most efficient approach for planners who onboard in waves and want the process handled once so they can move on.

Prefer to Send Gifts as Couples Book Throughout the Year? That Works Too.

Some planners need a flexible gift solution that aligns with their booking pace. We can set up an arrangement where gifts ship on demand - as new couples are confirmed, the orders go out without you having to contact us each time.

If this sounds like a better fit for how you work, mention it when you reach out and we'll talk through how we have it structured.

How to Get Started for Your 2026-2027 Season

If you've read this far, you probably already know whether this is the right fit. The planners who tend to work best with us are the ones who care about every detail of the client experience - not just the big moments, but the in-between ones, too.

What to Expect When You Inquire

We keep our inquiry process straightforward. You'll hear back from us directly, and we'll schedule a call if a custom build makes sense. For semi-custom inquiries, we can often move faster. Work With Us

Whether You're Ready to Book or Just Exploring, We're Happy to Talk

Some planners reach out knowing exactly what they want. Others are earlier in the process and just want to understand their options before committing. Both are more than welcome!

There's no pressure to have everything figured out before you get in touch. We'd rather have the conversation early and give you room to decide than have you wait until you're up against a deadline.

When you're ready, inquire here - and we'll take it from there. We can't wait to hear from you!
